Submission & Award Announcement

Once all the materials have been reviewed & approved on the channel, proceed with submitting the application.

1 - Typically we use the grants@greenstand.org email to set up application portals and make our submissions, unless the granter has requested a specific team member (often the "inventor" / Executive Director, Ezra). If you do not have access to this, DM Ezra or Sebastian.

2 - After submission, take a screenshot of the confirmation page & share it to the Slack "grants" channel alongside the final application materials, to update the wider team that this application is in. If there is no confirmation page, post an update to the channel announcing that the grant has been submitted with just the final application materials.

3 - Outline follow up tasks in Airtable. This allows you to set tasks for yourself or others so that response timelines are known, to ensure we check back in, or so that we know when to move the opportunity to "Denied." Ensure any information regarding the award timeline is included in the task description.

4 - Next, ensure this is properly documented in the appropriate spaces, which includes:

  • Airtable - move to "Submitted/Waiting" section & change the Status drop down indicator to "Under Review."

  • Grants G-Drive - move the entire folder from "Potential Applications" to "Submitted Applications."

5 - Once the awards are announced, move the opportunity in both Airtable & G-Drive to either indicate Awarded or Denied. Both Airtable and G-Drive have designated areas already set up. Ideally we would make a post to the Slack "grants" channel to update the wider team regardless of award or denial.

6 - If an award is offered, once accepted, it is good practice to write up an Award Announcement that can be used to promote the gift, both orgs, and generally show the financial health of Greenstand as being positive. This write up can be used in many locations & should be tailored specifically for each area, including:

  • Website - under the "History" tab to be shown on the Timeline page; requests can be made to the website team by simply navigating to our Slack channel "greentand_web" and posting the blurb there with a request for Sebastian or volunteer team members to make this addition.

  • Blog - can be written for larger awards or those awards that come with bigger partnership implications that we want to highlight. If a blog is written, it can then be promoted via the newsletter, social media, and of course will be posted to the website Blog page.

  • Greenstand Growth Newsletter - to show our stakeholders that we are successfully securing funds. Share the content with the team on the Slack "Communications" channel to get it into the next newsletter.

  • Social Media - as a quick post tagging the funder to promote both orgs on LinkedIn and Twitter, as these are our two primary social media accounts, along with YouTube & UpLink.
